Misfit Hobbies Events & Table Booking Policy

This policy applies to paid events, organised play, casual events and table bookings at Misfit Hobbies.

A booking reserves access to the service described. It does not reserve unrestricted use of the store or override the needs of other customers.

All customers attending events or using booked tables remain subject to the Misfit Hobbies Code of Conduct and all other applicable store policies.

1. Event Tickets

Event tickets are sold for a specific event, date and time.

Some events may have additional rules or entry requirements, particularly organised play events. These may include requirements relating to decklists, army lists, player IDs, check-in times, event formats, eligibility, equipment or other game-specific rules.

Where additional requirements apply, they will be stated in the event listing or otherwise communicated to players.

By purchasing a ticket, the customer agrees to comply with both this policy and any rules specific to that event.

2. Event Cancellations and Refunds

Customers may cancel an event ticket and receive a refund where the cancellation is made more than seven calendar days before the advertised event start time.

If a customer attempts to cancel their ticket within the seven calendar days immediately before the event, the ticket is non-refundable.

For example, if an event begins at 10:00am on a Saturday, the normal refund deadline is 10:00am on the previous Saturday.

Tickets are also non-refundable where:

  1. The customer simply does not attend the event.
  2. The customer arrives late and is unable to take part in some or all of the event.
  3. The customer is removed from the event because of a breach of the Code of Conduct, event rules, organised play rules or other serious misconduct.

Nothing in this section affects a customer's statutory rights.

3. Events Cancelled or Rescheduled by Misfit Hobbies

If Misfit Hobbies needs to cancel an event, we will normally attempt to reschedule it where practical.

Where an event is rescheduled, ticket holders will be offered the opportunity to transfer their ticket to the replacement date.

If the new date is not suitable for the customer, they may instead request a full refund.

If an event is cancelled entirely and no replacement date is offered, ticket holders will receive a full refund.

4. Minimum Attendance and Event Changes

Some events depend on a minimum number of participants in order to run successfully.

Misfit Hobbies reserves the right to cancel, reschedule or reasonably modify an event where minimum attendance is not reached or where circumstances make the original event format impractical.

Where an event is cancelled, customers will be entitled to a refund in accordance with this policy.

Where an event is rescheduled and the customer cannot attend the replacement date, they will also be entitled to a refund.

Reasonable changes to the running of an event, such as adjustments to pairings, timings, rounds, prize structure, table allocation or event administration, do not automatically entitle a customer to a refund unless the event has been materially changed.

5. Late Arrival at Events

Customers are responsible for arriving at events at the advertised time.

Tickets will not be refunded because a customer arrives late.

Late arrival may also result in a player:

  1. Missing part of the event.
  2. Receiving a game loss, round loss or other organised play penalty where the applicable game system requires it.
  3. Being unable to join the event where doing so would unreasonably disrupt the event already in progress.

Any organised play rules relating to lateness will take precedence where applicable.

6. Removal From an Event

Misfit Hobbies may remove a customer from an event where they seriously or repeatedly breach:

  1. The Misfit Hobbies Code of Conduct.
  2. Store rules.
  3. Event-specific rules.
  4. Organised play rules.
  5. Instructions reasonably given by staff, judges or event organisers.

A customer who is removed from an event for misconduct is not entitled to a refund.

7. Standard Table Bookings

Unless otherwise stated, a standard table booking provides:

  1. One table
  2. For up to four people
  3. For up to two hours

The booking period begins at the scheduled start time, not when the customer arrives.

For example, a booking from 6:00pm until 8:00pm will still finish at 8:00pm if the group arrives at 6:30pm.

8. Late Arrival for Table Bookings

Customers should arrive promptly for their booking.

If nobody from the booking arrives within 20 minutes of the scheduled start time, Misfit Hobbies may release the table and make it available to other customers.

If the customer subsequently arrives, a table will only be provided if suitable space remains available.

The original end time of the booking will still apply.

9. Number of People Per Table

A standard table booking is for a maximum of four people using or occupying the table.

This limit is not simply four active players plus additional spectators.

Customers should not gather additional people around a booked table in a way that obstructs walkways, neighbouring tables, staff or other customers.

Staff may use reasonable discretion for somebody who is briefly watching a game or speaking to the group, but a sustained group of more than four people may require an additional table booking.

10. Additional Tables and Space

Booking one table does not give customers permission to use another table simply because it appears to be empty.

Customers must not:

  1. Pull another table into their gaming area.
  2. Spread games, belongings or equipment onto neighbouring tables.
  3. Take chairs from other tables without staff permission.
  4. Use additional store space as part of their booking without permission.

Where a group exceeds four people or requires additional space, staff may require the group to book and pay for an additional table.

Additional tables are always subject to availability.

An empty table may already be reserved for another booking, event or store use.

11. Overrunning a Table Booking

Customers are expected to finish their game and clear the table by the end of their booked period.

Where additional time is available, customers may be offered the opportunity to extend their booking and pay any applicable additional fee.

However, paying for additional time does not guarantee that a customer may remain at the table.

If the table is required for another booking, event or store purpose, the existing group must finish and vacate the table at the end of their booked period.

We therefore recommend allowing enough time within your booking to finish your game, pack away and clear the table.

12. Table Allocation

A table booking guarantees suitable gaming space where available, rather than a specific physical table.

Misfit Hobbies reserves the right to move a booking to another suitable table before or during the booking where reasonably necessary.

This may be required because of events, accessibility needs, larger bookings, store layout or operational requirements.

13. Membership and Table Bookings

Active Misfit Hobbies members currently have the normal table booking fee waived as part of their membership benefits.

The member whose membership is being used must be present for the booking.

Membership does not:

  1. Guarantee table availability.
  2. Give the member priority over other bookings.
  3. Allow a member to take an unbooked table automatically.
  4. Allow a member to book tables free of charge for groups they are not attending.
  5. Allow a member to use additional tables without permission.

All normal table booking rules continue to apply.

14. Use of the Store

A table booking provides use of the booked gaming space for the agreed period.

It does not give the customer exclusive rights over surrounding tables, chairs, walkways, storage space or other parts of the store.

Customers must ensure that games, bags, miniatures, cards, terrain and personal belongings remain reasonably within their allocated area.

Customers must also follow any reasonable instruction from staff relating to:

  1. Store capacity.
  2. Accessibility.
  3. Walkways and fire exits.
  4. Noise.
  5. Events taking place nearby.
  6. Other customer bookings.
  7. Safe use of the premises.

15. Code of Conduct

All event attendees and customers using table bookings remain subject to the Misfit Hobbies Code of Conduct.

Booking or paying for an event or table does not provide exemption from store rules or preferential treatment.

Misfit Hobbies may end a table booking or remove someone from an event where there is a serious or repeated breach of the Code of Conduct or other store rules.

Where a booking or event participation is ended because of the customer's misconduct, no refund will normally be provided.

16. Staff Discretion

Misfit Hobbies staff may make reasonable operational decisions regarding:

  1. Table allocation.
  2. Additional space.
  3. Event administration.
  4. Late arrivals.
  5. Capacity.
  6. Safety.
  7. Store layout.
  8. The application of this policy.

These decisions will be made with the aim of treating customers fairly while allowing the store, events and bookings to operate effectively.

Nothing in this policy limits or excludes any rights a customer has under applicable consumer law.
